Position Overview

This position is responsible for all academic course scheduling, all aspects of producing the printed and web course schedules and the production and updates to the institution’s catalog.

Essential Job Functions

  • Provides support to the Registrar staff
  • Assists with basic Registrar functions, compliance and reporting projects
  • Works with academic departments to create a conflict-free, accurate schedule that balances efficiency, department needs, student needs, scheduling processes and institutional policy.
  • Audits all course information utilizing the college’s course catalog and HED approval to ensure accuracy of course listings including: course comments, fees and fee codes, drop/add dates, all restrictions, pre-requisites, saved seats, course descriptions and other course specifics.
  • Ensures timely and accurate dissemination of schedule and catalog information.
  • Responsible for producing and publishing registration policies and procedures.
  • Serves as the primary liaison with the Registrar’s Office to publish and update the college catalog.
  • Maintains knowledge of the Jenzabar CX Registrar module and assists in the maintenance of Registrar tables.
  • Assists in maintaining student academic records ensuring accuracy and preservation of academic credentials in accordance with institutional policy, accreditation standards, state standards, privacy laws and FERPA.
  • Processes registrations and assists students with the registration process as needed.
  • Assists in resolving student registration discrepancies, course requests, course cancellations and maintains organized records and files
  • Inputs all midterm and final grades; assists with information for graduation clearance.
  • Assists Registrar on external requests for student records in accordance with state/federal/judicial orders/requests/requirements.
  • Provides ongoing training on course scheduling and contact time to academic department directors and support staff as needed.
  • Performs other duties as assigned.

Knowledge, Skills and Abilities

  • Proficient in MS Office Products
  • Proficient in higher education standards for community colleges and institutions of higher education preferred
  • Proficient in the Carnegie classification of credit hours and contact time “The Carnegie Unit”
  • Excellent customer service skills
  • Ability to work under pressure with strict deadlines
  • Ability to work independently with minimal supervision
  • Proficient in FERPA compliance

Work Enviornment and Physical Factors

  • Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. The worker sits most of the time.
  • The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading and visual inspection.
  • The worker is subject to noise.
  • The worker is required to function in narrow aisles or passageways.
  • Travel may be required.

Education, Experience and Licenses

  • Associate’s Degree in Business, English, Mathematics or related field accepted; must obtain a Bachelors within one year of employment.
  • Two years’ experience in higher education or two years’ experience directly related to essential functions is required.
  • Must have a valid driver’s license.
  • Bachelor’s Degree is preferred.
